Treatment follow-up
Spot treatments that have been stalled too many days, log contacts and closures, and print a record for complaints.
The Follow-up screen shows you the treatments that have been stalled longer than their interval allows (a root canal, for example, shouldn't go more than 10 days between appointments). It's there so you don't lose track of the patient who missed, canceled or never came back — so you can chase them, and leave proof that you did follow up.
Available on every plan. Front desk, Doctor and Assistant use it (setting the intervals is Admin only).
How it works
The list is calculated on its own from your calendar: you don't mark anything as read. A card disappears by itself as soon as you book the next appointment for that treatment, or when you close it with a reason.
Each card shows the patient and the treatment, a "N days without continuing" chip (yellow, or red if it's been a while), the last appointment with its outcome, the phone number and the last contact logged.
Actions on each card
- 📅 Book — schedule the next session (and the alert goes away).
- 📞 Log contact — leave a record of a call or WhatsApp: pick the channel and describe what happened. It's signed with your name and the date.
- ✔ Close treatment — with a required reason (finished, the patient no longer wants it, continuing at another clinic, or other).
- 🖨️ Evidence — prints the treatment's follow-up record: its appointments and outcomes, the contacts and the closure, each one with its signature. This is what you hand over if a patient claims "nobody followed up with me".
Set the intervals (Admin)
Under Settings → 🔁 Treatment follow-up you define the maximum days between one appointment and the next. If the treatment name contains the keyword, that interval applies. Factory values: root canal 10, surgery 7, extraction 7, crown 15, denture/prosthesis 15, orthodontics 30 (implants are deliberately left out, because of their months of osseointegration).
When it's turned on, every clinic inherits these keywords, so you'll see the list populated from day one. Adjust the days to how your clinic works; setting 0 on a catalog service turns off its alert.
Notes
- A treatment is identified by its keyword, not by the exact appointment text: "Root canal — session 1" and "— session 2" are the same treatment.
- If you closed a treatment by mistake, it starts counting again as soon as that patient has a new appointment for it.
See also Dashboard alerts, which summarizes stalled treatments alongside the rest of the day's pending items.
