Audit
Review a period's operation without being able to change anything: payments, commissions, invoicing, notes, lab, appointments and compliance.
Audit is the screen where management reviews how a period went. It gathers in one place what already lives in the cash drawer, the record, the calendar and the lab, and adds one thing of its own: flagging each entry as Pending, Reviewed or Flagged.
It changes nothing. You don't correct a payment, a note or an order here: you only flag it. To actually fix something you have to go to that entry's own screen. This is deliberate.
Available on every plan. Admin only, and it can't be delegated to any other role.
The period: watch out for this
It opens showing the previous cash cut, that is, the last saved cash cut — which needn't be yesterday. If the clinic hasn't closed the drawer for three days, it will still show that last cut.
With the View selector you switch to Today or to Period…, which lets you choose From and To.
The ten tabs
- 📊 Summary — nine entry cards (payments, pending review, flagged, not invoiced, late notes, overdue orders, no-shows, compliance and warranties). Each one jumps to its tab.
- 💵 Payments — every bit of income in the period with its folio, patient, treatment, amount, doctor, method and who recorded it. It includes credits on account, marked with the
CREDITlabel. - 🧮 Commissions — the calculation per doctor (explained below).
- 🧾 Invoicing — how much was collected against how much was invoiced, by method. What's invoiced comes from the F box on the cash cut: one single tick for both screens.
- 🛠️ Warranties — warranties and incidents, with the doctor who did the original work and the one who fixed it.
- 📝 Notes — progress notes classified as On time or Late.
- 🦷 Lab — orders with their expected and actual delivery; the overdue ones in red.
- 📅 Appointments — only appointments already closed, with wait time, duration and next appointment.
- 📈 KPI — Activities compliance per team member.
- 🛡️ Audit trail — the last 150 movements: who touched what and when.
Flagging the review
In any table, each row's Review selector accepts three states: Pending, Reviewed and Flagged. When you choose Flagged, the system asks you to write down what needs looking at; it's saved with your name and the date, without touching the original entry.
Setting a row back to Pending erases the flag, including the comment and the name of whoever reviewed it.
Commissions per doctor
- Go to 🧮 Commissions and choose the Doctor. It won't calculate without one: the base would be the whole clinic put together, and that number wouldn't belong to anybody.
- Choose the Percentage (from 5 % to 100 %, in steps of 5).
- The base is the payments in the period you're looking at, with the filters applied. Credits on account don't count: they don't belong to any treatment yet.
- You can mark individual payments as Not commissionable. That only changes this calculation: the payment is still collected and still in the cash cut.
- Below you'll see that doctor's warranties — for work they did that had to be redone, not work they repaired. For each one you choose No adjustment or Apply deduction, which can be a fixed amount or a percentage of the commission, never both. Incidents don't deduct.
- The result reads on the To pay card. If deductions exceed the commission, it shows zero, never a negative, and tells you how much was left uncovered.
Report
The 🖨️ PDF report of this view button prints exactly what you have on screen, with the applied filters noted. It isn't an extract of the whole database, and generating it is recorded in the audit trail.
Notes and limits
- The "Recorded by" column is empty for payments before September 2026: that data started being saved then and isn't invented backwards.
- Searching by folio doesn't tell payments from credits apart: typing
P-00125may also bring up creditA-00125. - Lab filters by the request date, not the delivery date: an order requested in August and delivered late in September doesn't show up in the September period.
- Appointments still in progress don't appear: only closed ones come in; open ones stay on the Calendar.
- If a query fails, you'll see a red warning instead of an empty table. An empty table means "there's nothing"; the warning means "it couldn't be read", and they are not the same thing.
- There's no Excel export: the report is the PDF of the view.
