Day close & appointment notes

Record in bulk the appointment notes for visits that didn't happen, with templates and the warning about the risk of interrupting treatment.

At the end of the day, the 📅 Day close screen lists the appointments that weren't seen (no-shows and cancellations) so you can leave their signed appointment note in one step. It's the evidence that the clinic reached out and followed up.

Used by Front desk and Admin. Available on every plan.

Record the day's appointment notes

  1. Open 📅 Day close from the menu (it shows today by default; you can change the date).
  2. You'll see the appointments left as No-show or Canceled that still have no note.
  3. On each one, pick a template (the text is copied in and you can edit it) and adjust the outcome.
  4. Tick, if it applies, "They were informed of the risk of interrupting their treatment".
  5. Untick the ones you don't want to record yet and click Record selected.

They're all saved together. If one couldn't be recorded, the system tells you which and why (for example, if someone else already recorded it) without affecting the rest.

Templates

The Admin defines the wording under Settings → 📅 Appointment notes (day close). Write the phrases your clinic uses regularly so nobody has to draft the same text every day.

Appointment note vs. progress note

These are two different things, and it pays not to mix them up:

  • Appointment note: leaves evidence of what happened with the appointment (no-show, canceled, rescheduled). Front desk records it and it can be printed.
  • Progress note: this is the clinical act, written by the doctor or the assistant in the record. Front desk doesn't write it.

Appointment notes stay in the patient's record and count toward Treatment follow-up as evidence. Today's appointments without a note also show up in the dashboard alerts.
