WhatsApp campaigns

Write once and send it to a group of patients: promotions, announcements and reactivation, with delivery tracking.

With Campaigns you choose which group of patients to write to, compose the message once, and the system sends it one by one over WhatsApp. It's for promotions, announcements and winning back patients who stopped coming.

The Admin and Front desk can see it. Requires a plan that includes marketing. The Marketing role does not have it, deliberately: this screen sends bulk WhatsApp and shows the directory with phone numbers.

Create and send

  1. Campaigns → + New campaign.
  2. Give it a name and choose the recipients: All, Active (last 3 months), Inactive (6+ months without a visit), ♻️ Reactivation, or only those with a given treatment.
  3. Choose whether it goes out in batches: no batching, or 250, 500 or 1,000 a day. For large or cold lists, 250 a day is the recommendation.
  4. Choose the message type (explained below) and write it. To personalize, you can use {{name}} and {{treatment}} — the form suggests the Spanish spelling {{tratamiento}}, and both work. You can also attach an image.
  5. Save campaign. It stays as a draft, or scheduled if you gave it a date.
  6. 👁 Preview and send: check how many recipients there are, send yourself a 🧪 Test to your own phone and then press ▶ Send.

Free text or template: this decides whether it arrives

  • Free text is only delivered to people who wrote to you in the last 24 hours. Outside that window, WhatsApp won't deliver it.
  • A template approved by Meta does reach inactive patients too.

This is the number one cause of "I sent the campaign and nothing arrived": for a cold list you have to use a template. See Templates & messages.

Batches have to be pushed by hand

When a batched campaign sends its run for the day, it goes to Paused (batches).

⚠️ Even though the screen says the rest resumes on its own each day, that doesn't happen today: you have to go into Campaigns and press 📨 Send next batch. It's reported for a fix; in the meantime, it's worth putting it into someone's routine.

See what happened

The 📊 Deliveries button opens that campaign's real funnel: recipients, sent, delivered, read, replied and booked, with the patient-by-patient list. 🔄 Refresh statuses pulls in WhatsApp's check marks.

Careful with the numbers on the cards at the top: there, "✓ Delivered" means "accepted by WhatsApp", which is not the same as delivered. The real figure is inside 📊 Deliveries, on the ✓✓ Delivered row.

Read depends on the patient having blue check marks turned on, so it always runs low.

Notes

  • Anyone who asked to unsubscribe is excluded permanently, with nothing for you to do.
  • The counters on the top cards are all-time totals, with no date filter: they're no use for comparing one month against another.
  • When editing a campaign that's already been created, the batch size can't be changed.
