Calendar & appointments

Create, edit, reschedule and cancel appointments, and understand your clinic's calendar views.

The Calendar is the heart of your day. It shows every appointment in your clinic and lets you manage them in seconds.

Create an appointment

  1. Open Appointments from the menu.
  2. Click an open time slot (or New appointment).
  3. Choose the patient (or create one on the fly) and the operatory.
  4. Under Treatments and who performs them, pick the treatment and the doctor. The minutes fill in on their own from the catalog's duration.
  5. Save. If the patient has WhatsApp, they'll get the confirmation and, later, the automatic reminder.

Several treatments and doctors on one appointment

An appointment can carry several rows: each with its treatment, its doctor and its minutes. Click + Add treatment for each one; remove rows with .

  • The total duration adds up on its own, and you can override it by hand if two doctors work at the same time.
  • On the calendar it's still a single block; if there are two doctors, you'll see their names on the block and the breakdown on hover.
  • If you don't know yet who will handle a treatment, leave the doctor as Unassigned.

You no longer need to type the second treatment into the Notes: each one in its own row stays visible to the calendar and to follow-up.

When the patient arrives

Use the appointment's 🚪 button to record what happened (arrived, arrived late, no-show, canceled, rescheduling) and follow the welcome protocol. See Patient arrival & welcome protocol.

Reschedule or cancel

Open the appointment and change the date/time, or mark it as canceled or no-show. Keeping the status up to date feeds your no-show and reactivation reports.

At the end of the day, leave the appointment note for the visits that didn't happen from Day close.

Appointment states

  • Scheduled — confirmed on the calendar.
  • Attended — the patient came and was seen.
  • No-show — a miss; it counts toward recall campaign metrics.
  • Canceled — canceled with notice.

Appointments created by the AI Agent

When the WhatsApp AI Agent books on its own, the appointment appears here automatically, with the patient's source recorded.

Best practices

  • Keep your hours and operatories up to date so the calendar doesn't offer invalid slots.
  • Turn on reminders to cut no-shows.
