Lab orders & their cash drawer

Manufacture work for outside doctors with a folio, pieces by FDI numbering and its own payments, and close the day with the lab drawer's cash cut.

An order is a job your lab manufactures for an outside doctor — crowns, veneers, aligners. Don't confuse it with the lab work orders, which are the ones the clinic sends you from its patients' records: here the customer is the doctor, not the patient.

It lives in the Lab workspace, alongside Rewards.

Creating an order

You pick the doctor, type the patient's name — here it's just a name, it doesn't open a record — and add the lines of work.

Each line comes from the Products catalog, never from the Studies: a study isn't manufactured. The price is frozen when the line is added, so changing the catalog afterwards doesn't rewrite the order.

Each order gets its yearly folio (for example PD-2026-0001) and can be printed as a 🖨️ Work order.

Pieces, by FDI numbering

To say which teeth the work is for there's an FDI grid: two rows of buttons, the maxilla on top and the mandible below. The system sorts and cleans up whatever you tick, so the order you tap them in doesn't matter.

The grid only carries the permanent dentition (11–48). The primary teeth (51–85) are accepted, but they have to be typed by hand into the text field. A piece out of range is rejected; it's never saved silently.

Statuses

Received → In progress → Ready → Delivered, plus Cancelled. The advance button changes its name depending on where you are: Move to in progress, Mark ready, Deliver.

Lines can only be edited while the order is in "Received", and the total can never drop below what's already been collected plus the credit applied. An order that's been delivered or cancelled can't be edited.

Payment and points credit

The balance is simple and always calculated, never stored by hand:

to pay = total − points credit · balance = to pay − collected

The credit comes from a points redemption by the same doctor. From the order you have the Apply points shortcut, which proposes the maximum credit that fits.

On Deliver, if there's a linked redemption that's not validated, delivery is blocked. Pure-credit ones that are already validated conclude on their own.

To cancel an order that already has concluded credit, the Admin has to Remove from the order first. If the order has already been delivered, the credit doesn't come back.

The lab's cash drawer

🧰 This is the lab's drawer. The clinic's cash box is a different one and they don't mix.

It's independent, with its own cash cut. The formula is the same as the clinic's, but the money never crosses over.

In come the payments for arrivals and the payments for orders, sorted by time. Out go the expenses you capture and the cash from points redemptions.

The opening float isn't typed in: it's inherited from the previous cut — "what was left in the drawer". Only the very first time, when there's no previous cut, is the float the Admin configured used.

The count by denomination is mandatory: the total never arrives written from the screen, it's counted. There's an Empty drawer (everything at 0) shortcut for the day no cash is left.

⚠️ Close the cash cut at the end of the day, not before you've finished taking payments. A payment recorded after the cut is saved doesn't go into that cut or any later one, because a new cut can't overlap a range that's already been cut. That money will show up as an unexplained overage.

A range that's already been cut can't be cut again: the Save cut button appears greyed out and tells you why.

An expense that's already inside a saved cut isn't deleted, and neither is the cash outflow from a redemption: that redemption has already been concluded.

Who can take payments

Taking payments doesn't come with any role: it's granted person by person with the Lab payments checkbox.

⚠️ That checkbox enables more than its note suggests. Besides recording the payment for a study, it allows taking payment on an order, concluding a cash redemption — which takes money out of the drawer — capturing expenses and saving the cash cut. That's five operations, two of them over the drawer's money.

The checkbox opens nothing on its own: without Lab rewards the screen can't be reached.
