Analytics

Where your patients come from, how many book, how many show up and which treatments they ask for most.

Analytics is your clinic's results dashboard: how many new people arrived, through which channel, how many booked, how many actually turned up and which treatments get asked for most. Use it to decide where to invest and where you're losing people.

Available on every plan. Out of the box the Admin and Front desk see it; you can grant it to someone else with the checkbox in Users & permissions.

What you'll find, from top to bottom

  • The intake cards: leads, how many booked (with their conversion %), how many attended, how many were left without an appointment and how many wrote in without getting a reply.
  • Actual attendance — of those who booked, who attended, who didn't and who is still pending.
  • Patient source and monthly trend.
  • 🔻 Lead funnel — which rung people fall off at. The stages are changed patient by patient, on their profile, in the Information tab.
  • 📣 By Meta campaign and conversion by source.
  • Most requested treatments and appointments by status.
  • 👥 Who brings us patients — referrers and what they earned.
  • 👨‍⚕️ Doctor KPIs — the Admin only sees this one. If you don't pick a period, it measures the last 30 days.

🩺 Initial consultation → treatment

A separate card follows the period's new patients through four rungs: First appointment, Turned up, Booked another appointment and Came back and was seen.

"Coming back" means one specific thing: another attended appointment within the following 60 days. It isn't the quote being approved, nor the formal start of treatment; it's that the patient returned and was seen.

Anyone still inside those 60 days shows as still within the window and is taken out of the percentage, so the figure doesn't penalize a patient who simply still has time.

The footer says how many of those patients have an approved quote, but that count is not restricted to the period: it counts any approved quote of that person's, from any date. Read it as context, not as part of the funnel.

🔁 Recurrence by doctor

Inside each card of the 👨‍⚕️ Doctor KPIs — which only the Admin sees — there's a recurrence line.

It measures doctor–patient pairs, not individual patients: of those that doctor saw in the period, how many came back to the same doctor within 60 days. The same day doesn't count as coming back.

  • With fewer than 6 assessable cases no percentage is shown, only "X of Y came back · sample too small". A percentage over three patients says nothing.
  • Attended appointments with no doctor assigned are flagged separately and don't count towards anyone's recurrence.

The period filter: read it carefully

At the top you have Period (appointment date) with the 30d, 90d, Year and All shortcuts. The screen opens on All.

⚠️ The filter doesn't move the whole screen. Today it applies to appointments and to treatments, but not to the lead count, the funnel or the monthly trend. That's why, if you filter to 30 days, the conversion % comes out artificially low: up top it divides one month's appointments by all the patients you've ever had. To compare periods, look at Booked and Attended; to read the conversion percentage, use All.

Two details that explain numbers that don't add up

  • Here "Attended" only counts appointments marked as Completed. An appointment marked only as In the clinic doesn't add up. The Marketing panel does count it, so the two screens can report different attendance figures for the same month.
  • If your team doesn't mark how appointments ended, the Pending bar inflates and attendance sinks without anything being wrong at the clinic.

Recommendation

Marking how every appointment ended is what makes this screen trustworthy. Without that, everything else is an optimistic estimate.
