Daily activities
The opening, mid-day and closing checklist: who does each task, who ticked it and at what time, with a compliance score.
Activities is your clinic's daily checklist: turn on the compressor, check the sterilizer, close the cash drawer. Each person ticks off what they did and the system records who, on what day and at what time. Nobody has to decide whether a task "applies today": it only shows up on the days it's due.
Available on every plan. Out of the box it's visible to Front desk, Doctors, Assistants and the Admin; setting it up and seeing the compliance score is Admin only.
Tick off your activities (whole team)
- When you sign in you'll see the 📋 Today's activities card with your progress, or open ✅ Activities from the menu.
- The list is grouped into 🌅 Opening, 🕐 Mid-day and 🌙 Closing.
- Tick the box for what you did and confirm. It's recorded with your name and the time.
If you got it wrong, untick it the same day: only the person who ticked it (or the admin) can do that. From a previous day it can no longer be undone.
One person ticking it is enough — the day counts as done for everyone it's assigned to. The system accepts a single tick per activity per day: the responsibility belongs to the group, not to each person signing off.
Create and assign activities (Admin)
In Settings → Activities → ⚙️ Add or edit, or with the ⚙️ Configure button on the screen itself:
- Type the name (for example, Turn on compressor).
- Choose the Time of day: Opening, Mid-day or Closing.
- Tick the Days it applies. Sunday comes unticked.
- Optionally tick Who does it. If you tick nobody, anyone sees it and can tick it off.
To hand it out later, use that activity's Assign button. It can only be assigned to Front desk, Doctors and Assistants.
You also decide whether the checklist shows on everyone's home screen, with the Show the checklist on the home screen box. Turned off, activities are still available on their own page in the menu.
Compliance (KPI)
The 📊 KPI button shows compliance for the last 14 days: the overall percentage, which activities drag the average down the most, and how each team member is doing. The same number appears in Audit, there with the period you choose.
The percentage only exists for people who have activities assigned: if someone has none, it shows as dashes with the note no activities assigned, never as 0 %.
Notes
- An activity is turned off, not deleted. Unticking its box removes it from the checklist and keeps the history.
- Only today can be ticked off. There's no way to tick past days.
- Everyone sees their own: an assigned activity is only visible to the people it's assigned to and to the admin.
- If you deactivate a person in Users, their assignments are released on their own and the activity goes back to being anyone's.
- The percentage is calculated with the current assignment, not the one in place that day: if you change assignments, the compliance history changes with them.
